Supplier Terms and Conditions

Please read these Terms and Conditions (“Terms”) carefully before purchasing or renewing Supplier Membership with Herts Visual Arts (“HVA”, “we”, “our”, “us”). By joining as a Supplier Member, you agree to these Terms.

1. About Us

Herts Visual Arts is a voluntary, not-for-profit organisation promoting the visual arts community in Hertfordshire.

2. Supplier Membership Overview

Supplier Membership allows businesses and service providers to promote their products and services to HVA members, Hertfordshire artists, and the general public through our digital and print channels.

Supplier Membership includes:

  • A Supplier Profile on the HVA website
  • One introductory promotional social media post on Instagram and Facebook
  • A feature or mention in our Love Art magazine (printed and digital)
  • Access to update your listing during your membership year
  • Additional advertising opportunities in our event brochures

HVA may update or enhance membership benefits from time to time.

3. Membership Eligibility

To become a Supplier Member, you must:

  • Operate a business, service, or organisation relevant to artists, makers, or creative practitioners in, or close to Hertfordshire
  • Provide accurate and complete information when joining
  • Comply with these Terms and all applicable laws

HVA reserves the right to decline or cancel membership where a business does not align with HVA’s values or audience.

4. Membership Fees & Renewal

  • For a trial period of 3 months from January 2026 to March 2026, the Supplier Membership fee is £50 per 12-month period. After the trial period is over, the Supplier Membership fee will become £110. There is no VAT to be paid.
  • Fees are payable in advance and are non-refundable, except where required by law.
  • Membership does not renew automatically. Renewal reminders may be sent, but it remains your responsibility to renew on time.
  • If membership lapses, your Supplier Profile will be removed from the HVA website.

5. Supplier Profile Content

You are responsible for providing:

  • Accurate business details
  • Logos, high-resolution images, and text for your listing
  • Up-to-date social media or website links
  • Correct licensing or permissions for any content you upload or provide

By submitting content, you confirm that you own the rights to use the content and grant HVA permission to display it across our platforms.

Your profile will be submitted for approval by HVA and made live on the website once approved.

HVA may edit content for clarity, length, layout, or consistency, but will not change the meaning without your approval.

6. Social Media Promotion

Supplier Membership includes one promotional post on HVA’s social media channels.
HVA:

  • Will schedule the post within a 7 days
  • Reserves editorial control over format, caption, and timing
  • Does not guarantee engagement levels, reach, or follower growth

For the benefit of the Supplier Member to gain the best exposure for their promotional post, this post may be postponed during high-volume campaign periods.

7. Love Art Magazine Feature

Supplier Members will be included in at least one edition of Love Art magazine during their membership term.
Inclusion may take one of the following formats:

  • Supplier feature
  • Spotlight mention
  • Directory listing
  • Advertorial-style profile (space permitting)

HVA cannot guarantee placement in a specific issue or layout.

8. Use of HVA Logo

Supplier Members may not use the HVA logo, brand, or identity without prior written permission.
Approved wording you may use: “Proud Supplier Member of Herts Visual Arts.”

9. Conduct & Acceptable Use

Supplier Members must:

  • Treat HVAF staff, volunteers, and members respectfully
  • Provide lawful, honest, ethical services
  • Ensure their activities do not harm HVA’s reputation

HVA may remove or suspend a profile if:

  • Complaints are received
  • Content is misleading or inappropriate
  • The business engages in behaviour inconsistent with HVA’s values

No refunds will be issued in these cases.

10. Website Availability & Performance

HVA will make reasonable efforts to ensure the website functions reliably.
However, HVA cannot guarantee:

  • Continuous uptime
  • Specific traffic levels
  • Search engine rankings
  • Sales, enquiries, or financial returns

Supplier Membership is an advertising and promotional service only.

11. Liability

To the fullest extent permitted by law:

  • HVA is not responsible for any loss of business, revenue, data, or reputation resulting from membership
  • HVA’s total liability shall not exceed the amount paid for the membership year in question
  • HVA does not endorse or guarantee any supplier’s products or services

Nothing in these terms excludes liability for fraud or other rights protected under UK law.

12. Termination by HVA

HVA may suspend or cancel Supplier Membership if:

  • The member breaches these Terms
  • Provided content is unlawful, offensive, or infringes copyright
  • Behaviour undermines HVA or its community
  • The business ceases to operate

No refunds will be issued for memberships terminated due to breach.

13. Your Right to Cancel

As a digital membership service, your statutory right to cancel within 14 days applies only if no benefits have been used (e.g., your listing has not been published).
After benefits are provided, cancellation rights end.

14. Changes to These Terms

HVA may update these Terms at any time.
Changes will be published on the HVA website and will apply at renewal.
